Process serving has always depended on careful preparation, sound judgment in the field and accurate evidence after an attendance. But for the person who sent the instruction, there can still be an uncomfortable gap between handing over the documents and hearing the final result.

We built EDS ServeTrack to close that gap.

EDS ServeTrack is our purpose-built operations and client communication system. It brings the instruction, attendance history, documents, updates and costs together so that our office, field agents and approved clients are working from the same current information.

Better information throughout the job

Clients should not need to chase a process server simply to find out whether an address has been attended.

When an attendance is recorded, ServeTrack can capture the relevant date and time, GPS coordinates and a direct map link. Where photographs are appropriate and can be provided without compromising privacy or safety, they can also form part of the update and file record.

This creates a clearer operational history and allows us to send useful progress information while the matter is still active—not just a final report after the work is finished.

Updates for every client

You do not need a portal account to benefit from the system.

Regular and one-off clients can continue to send instructions through our website or contact the office directly. We review the documents, confirm the scope and fee, and provide updates by email. Those messages can include the recorded attendance date, time, GPS information, map link, outcome and appropriate photographs.

An online submission or automated acknowledgement means that the information has been received. It does not mean that the job has been accepted. We separately confirm acceptance, availability, fees and any special requirements after reviewing the instruction.

A portal for approved repeat clients

Solicitors, mercantile agencies and repeat commercial clients may be approved for an EDS ServeTrack account.

Approved clients can use the portal to:

  • Create a new instruction and upload the relevant documents.
  • View the current status of their matters.
  • Follow recorded attempts and progress updates.
  • Access relevant file documents and completed material.
  • See the original estimate and the final approved quote.
  • Review estimated costs recorded against an active file.
  • Keep messages and instructions connected with the correct job.

Portal access is intended for established repeat clients and is approved by our office. One-off clients are not forced to create an account simply to request service.

Estimates, approved quotes and costs

Service requirements can change when an address is incorrect, the recipient has moved, extra attendances are authorised or regional travel becomes necessary.

ServeTrack is designed to keep the original estimate visible while also showing the final quote approved for the instruction. Approved clients can see estimated costs to date as work progresses, helping them understand the file without confusing an early estimate with the final amount.

Any automatic estimate is indicative only. The final figure is confirmed by Elite Document Services after the address, document type, urgency, travel and special requirements have been reviewed.

Stronger field records

Technology cannot replace the judgment of an experienced process server. It can, however, make it easier to capture information promptly and consistently.

ServeTrack supports field reporting with structured attendance details, notes, location information and photographs. That information assists our office when preparing client reports, reviewing unsuccessful attempts and producing the appropriate affidavit or evidence of attendance.

For family law document service, identification details and accurate service records can be particularly important. For civil and commercial process serving, a clear chronology helps clients understand exactly what occurred at each address.

Privacy and controlled access

Process-serving files can contain personal information, court documents and sensitive instructions. ServeTrack is being developed around controlled accounts, job-level access and an audit history so that users receive access appropriate to their role.

Field agents should only see the jobs assigned to them. Clients should only see matters belonging to their approved account. Internal operational and financial information remains restricted to authorised staff.

We also continue to apply practical safeguards outside the software: limiting unnecessary information, checking recipients, protecting uploaded documents and avoiding disclosure of confidential information in public or ordinary marketing material.

Built around the way we actually work

ServeTrack was not purchased as a generic job-management package and rebadged. It has been developed around the actual workflow of Elite Document Services—from the initial instruction and quote through field attendance, client communication, affidavits and completion.

That lets us improve the system as our clients identify useful changes. The objective is straightforward: fewer information gaps, clearer accountability and better communication without making the instruction process unnecessarily complicated.

Sending your next instruction

One-off and occasional clients can request service and securely send documents. Approved repeat clients can use the EDS ServeTrack portal to create and follow their matters.

Before work begins, we confirm that the instruction has been accepted, along with the applicable fee and any special requirements. For an urgent deadline, call 08 6384 0060 so availability can be checked immediately.
